Who is responsible for your information
Twilight 247 Godo Kaisha (“we”, “the Company”) runs this website and carries out the window and exterior cleaning described on it, working from Aoba-ku in Sendai. When you write to us or phone us, we are the business operator that holds what you tell us, and this page explains what that means in practice.
We handle personal information in line with Japan's Act on the Protection of Personal Information (APPI). The policy is written around what actually happens at a small cleaning business: an enquiry arrives, a quotation is prepared, a visit is arranged, and a short note is kept afterwards.
The information that reaches us
From the contact form: your name, email address, an optional subject line and the message itself. Messages often include the building's approximate height, which side of it faces the street, and sometimes the neighbourhood or street address.
By phone or email: whatever you choose to give us, usually a name, a callback number and details of the property.
When a visit is arranged: the address of the building, who will let us in, any access notes such as a locked gate or a shared water tap, and the short completion note we write afterwards.
From your browser: the cookie choice you make is saved in your own browser (see the Cookie Policy). Our web host also keeps ordinary server logs, which include the IP address, time and page requested. We do not ask for dates of birth, payment card numbers or identity documents through this site.
What the information is used for
- Answering your enquiry and preparing a quotation that fits the building you described
- Agreeing a date, a time window and the access method for the visit
- Keeping a record of what was done, so the next visit to the same building starts from an accurate picture
- Handling any complaint, dispute or question about a visit after the event
- Meeting legal and accounting obligations that apply to a company in Japan
- Checking that the site is working, using server logs only when something goes wrong
Who else may see it
We do not sell personal information and we do not use it to build marketing lists for other companies. Information is shared only in the following narrow cases.
Service providers that help us run the site and our email, such as the hosting company, process data on our behalf and only for that purpose. If a provider stores data outside Japan, we first check that it protects personal information to a standard comparable with the APPI, and we will tell you which country is involved if you ask.
A building manager or owner may be told your name and the visit time when a commercial elevation or shared balcony needs their permission. Public authorities or courts may receive information when the law requires it.
Retention periods
- Enquiries that do not lead to a visit: kept for up to 12 months, then deleted
- Quotations, visit records and completion notes: kept for up to three years, so that a wear note can be compared with the next visit
- Accounting records: kept for the period Japanese tax and company law require
- You can ask us to delete an enquiry earlier at any time, unless we must keep it by law
How the information is protected
Enquiries are read only by the people who answer them or carry out the visit. Records are kept in access-limited folders and mailboxes, devices used for them are password protected, and paper notes taken on site are brought back and filed or shredded.
If we ever learn that personal information has been lost or accessed by someone who should not have it, we will look into it promptly, take steps to contain it, and notify the people affected and the Personal Information Protection Commission where the APPI requires.
Seeing, correcting and deleting what we hold
Under the APPI you may ask us to disclose the personal information we hold about you, to correct it if it is wrong, and to stop using or delete it in the circumstances the law provides for. You may also ask which purposes it is used for.
Send the request to info@twilight247.com, call +81 22-266-7513, or write to the address above, marking it “Privacy request”. We will ask you to confirm who you are, for example by replying from the email address used in your enquiry, so that information is not given to the wrong person. We aim to answer within two weeks and will say so plainly if we cannot do what you ask and why. We do not currently charge a handling fee for ordinary requests.
Two shorter points
Our use of browser storage is explained on the Cookie Policy page, where you can also change your choice.
The site and its services are meant for property owners and managers. We do not knowingly collect information from children; if a parent finds that a child has written to us, they can ask for it to be deleted.
If this policy changes
When our handling of information changes in a way that matters, for example if we add a form field or switch email provider, this page is updated and the date at the top is changed. Questions about it can go to the contact page or straight to the email address above.
